A client sends the signed contract via email with three attachments. The email and attachments are crucial parts of the case, so they must be saved among the case documents.
The traditional process involves multiple steps: downloading the attachments, finding the case in Flowyer, uploading the files, and if the email implies a task, creating a separate task with a responsible person and deadline.
For a single email, this may not seem much. However, with dozens of emails daily, it becomes significant administration. Moreover, each additional step is a potential error: an attachment might be missed, a document might be filed under the wrong case, or the related task might simply not be recorded.
Flowyer for Outlook simplifies this process.
With the add-in, the opened email can be directly attached to the appropriate case from Outlook, or converted into a task with a few clicks. The entire email and all its attachments are automatically transferred to the office's own Flowyer environment.
Flowyer for Outlook is now available on the Microsoft Marketplace and can be used with a Microsoft 365 email account.
Why is it important to link emails to cases?
A significant portion of legal work now occurs via email. Emails include, among others:
- client correspondence,
- negotiations with opposing parties,
- contract drafts and other documents,
- expert materials.
These emails often form part of the case history just like any other document.
However, if the mailbox and case management system operate as separate entities, transferring emails requires continuous manual administration.
An even bigger problem arises if an important email is not included in the case documents at all.
For instance, if an email is only found in one colleague's mailbox, a colleague taking over or substituting may not see the full history. In later searches or legal disputes, it is particularly important to have the related communication fully available.
The same applies to tasks received via email. As long as a task is only in the mailbox, it is easy to forget. A missed deadline in legal work is not just an inconvenience, but a liability issue.
How does Flowyer for Outlook work?
Flowyer for Outlook opens as a sidebar directly in Outlook, so no separate application switch is needed.
The add-in can be used with a Microsoft 365 email account, on Windows and Mac computers, and from a browser.
It works:
- in web-based Outlook,
- in the new Outlook for Windows application,
- in the classic desktop Outlook,
- and in the Outlook for Mac application.
This allows office staff to use the same Flowyer function regardless of whether they work on Windows or Mac computers, or from a browser.
The panel always relates to the currently opened email, so there is no need to switch between Outlook and Flowyer.
Attaching an email to a case
The opened email can be directly saved to the selected case.
The entire message is archived in standard email format, along with the original attachments. There is no need to download, name, and upload files separately.
Creating a task from an email
If the email implies a task, it can be directly converted into a task.
The system automatically fills in the task subject, and you only need to provide the necessary details, such as:
- the responsible colleague,
- priority,
- and deadline.
The original email and its attachments are also linked to the task, so all necessary information is available in one place later.
Faster case selection
The add-in includes a searchable case list, so there is no need to browse through long lists.
Frequently used cases can be marked as favorites with a star, and a switch allows you to display only your own cases.
If you click on another email in Outlook, the Flowyer panel automatically follows. The add-in does not need to be reopened for each email.

Instead of the previous download-upload process, the entire email and all attachments can be saved to the appropriate case with a single operation.

Flowyer for Outlook is not tied to a single operating system or Outlook version.
It can be used with a Microsoft 365 email account on Windows and Mac computers, and in web-based Outlook. Thus, all staff can work in their familiar environment, and the office does not need to use a unified operating system or Outlook version.
The integration does not stop here: a version of Flowyer for Gmail is also in development, which is planned to make the same workflow available from the Gmail interface.
4. More complete and easily searchable case history
Attached emails, along with the original attachments, are added to the case.
If a colleague takes over the case, substitutes for someone, or needs to search for a previous discussion months later, there is no need to search through multiple colleagues' mailboxes.
Communication related to the case is also found among the case documents.

The Flowyer for Outlook interface is available in:

The add-in automatically adapts to the Outlook language setting, so no separate configuration is needed in a multilingual office environment.
What happens to the data?
Flowyer for Outlook operates on Microsoft's official add-in platform.
The add-in only accesses the currently opened email and processes it only when you initiate the save.
It does not read the entire mailbox, nor does it perform continuous email synchronization in the background.
Saved emails and attachments are transferred directly to the office's dedicated Flowyer database through an encrypted connection. Documents are not stored separately in a third-party system.
Set up in a few minutes
Flowyer for Outlook can be installed from the Microsoft Marketplace, directly from the Outlook app store. Simply search for Flowyer in the Outlook Apps menu.
A Microsoft 365 email account is required to use the add-in.
During the first use, a short pairing connects the Outlook add-in with the office's Flowyer account. The system guides you through the necessary steps.
If the office already uses the Flowyer DocFiller Word add-in, the Outlook add-in automatically adopts the existing pairing. In this case, no separate configuration is needed.
No separate installation package, own server, or IT intervention is required.
Directly from email to case
Flowyer for Outlook connects the two interfaces between which lawyers work daily: the mailbox and the case management system.
Instead of downloading files, searching for cases, uploading documents, and recording separate tasks when processing an important email, all this can be done directly from Outlook.
