Previously, editing a submission or contract required several separate steps: downloading the Word document from Flowyer, opening it on your computer, editing it, and then manually re-uploading the completed file to the specific case.
This process could easily cause version confusion. It could happen that the updated file remained on the local machine, or the version that the office intended to work on was not the one returned to the system.
Our new Word Agent simplifies this process to direct Word opening and automatic saving instead of the download-edit-upload cycle.
How does it work?
Among the case documents, you click on the Word file you wish to edit.
The document opens not in a browser editor but in the full-featured Microsoft Word installed on your own computer.
You can then work with it just like any other Word document: use familiar formatting, templates, comments, proofreading, and change tracking.
When you save the document, for example with the Ctrl+S keyboard shortcut, the modified file is automatically returned to Flowyer, directly into the case documents.
The essence: no separate download, no manual re-upload, and no need to separately ensure that the updated version has been returned to the case.
Main Advantages
1. Full-featured Word Environment
The document opens in the familiar desktop Word, not a limited browser editor. This is particularly important for submissions, contracts, and documents sensitive to formatting.
2. Less Manual File Handling
The previous download-edit-upload process is simplified to a single save step. The document is saved directly to Flowyer.
3. Reduced Risk of Version Confusion
The updated document does not remain separately on the local machine but is returned to the system linked to the case. Thus, the office works with the current document.
4. Faster Final Round Edits
If a document requires only a clarification, date correction, or final text modification, there is no need to go through the entire download and upload process.
Version Tracking or Overwriting - You Decide
With the new file settings feature, you can regulate how Flowyer handles document saving and uploading.
When saving Word edits, two options are available.
One setting creates a new version with each save. In this case, previous versions are retained and can be retrieved or restored if necessary.
The other setting overwrites the current version. This provides simpler operation in cases where keeping history is not necessary.
When uploading a file with the same name, three operations can be chosen:
1. Create New Version
The uploaded file is linked to the same document, but the previous state is retained as a version.
2. Overwrite Existing File
The new file replaces the previous one, without a separate version history.
3. Create Separate New File
Flowyer saves the document with the same name as a separate file with _2, _3, or additional suffixes.
This operation was previously fixed. From now on, everyone within the office can adjust to their own working style when the system should retain previous versions and when it should operate with simple overwriting.
Simple Setup
To use the feature, the Flowyer Word Agent must be installed on the computer where you wish to edit documents.
The saving and uploading rules can be set in the file settings window. This is useful because working styles can differ within an office. Some may want to preserve every document version, while elsewhere simple overwriting is more practical. Flowyer supports both operations.
