A client settles their invoice, but often the work behind the case involves multiple colleagues. Perhaps a partner brought in the assignment, another lawyer supervised the work professionally, and a third colleague handled the daily tasks. Meanwhile, the firm provided operational support and even advanced certain case costs.
When the money arrives, it is crucial to precisely determine who is entitled to what amount. Consideration must be given to the share ratios, costs, VAT, work hours, and even if clients pay in different currencies.
If all this needs to be recorded in a separate Excel sheet and recalculated month by month, internal accounting can become difficult to verify. The Flowyer Internal Accounting module performs these calculations based on predefined rules, ensuring that revenue allocation is consistent and transparent.
Why is this important for a law firm?
Internal accounting directly affects the financial relationships between partners and colleagues. Therefore, it is not only important that the end result is correct, but also that it is clear to all participants on what basis the rules were established.
The situation can become particularly complex if the same accounting needs to handle unpaid invoices, advanced costs, different colleagues' shares, VAT, and currency items.
Flowyer links this process directly to cases and their associated invoices, eliminating the need for a separate, parallel financial record.
How does Internal Accounting work?
For each case, it can be predetermined what proportion of the incoming revenue belongs to the firm, the colleague who brought in the case, the controller, and the lawyer performing the work.
The allocation occurs when the client actually settles the invoice. The system considers the costs and work hours associated with the case, then distributes the remaining amount based on the set ratios.
The resulting accounts can be tracked on virtual invoices, where individual amounts can be traced back to specific invoices and the work hours behind them.
The Key Benefits
1. No need to redefine shares for each invoice
The percentage ratios recorded once for the case can also be applied to subsequent invoice accounts. Thus, it is not necessary to decide again at the end of the month what share each contributor should receive.
2. Only actual received revenue is allocated
An issued invoice does not yet mean received money. Therefore, Flowyer calculates shares based only on settled invoices, so colleagues' balances do not include amounts not yet received.
3. All items behind balances are traceable
Virtual invoices show how much was allocated to each colleague and the firm in a given period. If a question arises about an amount, the account can be traced back to the original invoice and related work hours.
In the daily view, the accumulated balance since the beginning of the year can also be queried for a selected date, per colleague and for the entire firm.
4. Costs do not distort the allocable revenue
The module handles three types of costs separately: the firm's own costs, individual deductions assigned to colleagues, and costs advanced by the firm related to the case.
For example, if the firm has already paid an expense related to a case, but the client has not yet reimbursed it, this amount reduces the firm's balance until the related revenue arrives.
5. Current and final net balances are separately visible
The firm's current balance includes its own net share and the VAT collected on invoices, while also considering paid costs.
The system also separately shows the final net balance, which is the amount that actually remains with the firm after settling VAT. Thus, the money available to the firm and the actual own revenue are clearly separated.
6. Related accounting rules can also be set
A percentage cost allowance can be specified at the client or case level, which the system automatically displays among the billing items in addition to the fee.
It can also be set how frequently colleagues receive summary notifications about the development of their balance.
What is this good for in practice?
When multiple people work on the same case
A senior partner secures the assignment, another lawyer professionally supervises the case, and a younger colleague performs the daily work. The firm records the accounting ratios at the beginning of the case.
When the client settles the invoice, the revenue is allocated according to these rules. There is no need for subsequent calculations or to renegotiate shares for each invoice.
When the firm invoices in multiple currencies
For an international clientele, it may be natural for the firm to issue invoices in different currencies. Flowyer manages these within the same accounting system.
Security and Data Protection
Internal Accounting handles financial data such as share rules, individual colleagues' balances, costs, and case revenue data.
This information is stored in the dedicated database of the respective firm, separated from the data of other law firms. The module does not transmit accounting data to external systems.
Simple Setup
To start using it, the firm must determine the share ratios for each case. From then on, the system performs the accounting based on settled invoices, related costs, and work hours.
During daily operations, there is no need to maintain a separate revenue-sharing table or record the same data in multiple places.
